Rules and regulations of participation

General Provisions:

  1. 13th Congress of the World of Pharmaceutical Industry and 12th Congress of the World of Cosmetics Industry, hereinafter referred to as the Congress, shall take place on 15-17 November 2022 in Warsaw.
  2. The organizer of the Congress is FARMACOM Publishing House with business seat in Wodzisław Śląski.
  3. The provisions of these rules and regulations apply to all participants of Congress.

 

Terms of participation in the Congress:

  1. Application for the Congress is made by filling in the application form on the Congress website (https://kongresfarmaceutyczny.pl, https://kongres-kosmetyczny.pl).
  2. The applicant is obliged to complete the application form within the prescribed period (no later than 7 days before the start of the Congress, i.e. by November 8, 2022).
  3. The organizer, having received a correctly completed application form, sends a pro forma invoice which constitutes a confirmation of acceptance of an application.
  4. The person completing the application form on behalf of the Applicant declares that he or she has the appropriate authority to act on behalf and for the benefit of the Applicant, in particular to conclude an agreement with FARMACOM Publishing House.
  5. A participant makes payment in the amount of 100% of gross costs of participation in the Congress within deadline specified in a pro forma invoice.
  6. The organizer, having received a confirmation of payment of dues for participation in the Congress, sends to an Applicant an advance invoice confirming participation in the Congress.
  7. In the case of a failure to make payment of dues within deadline specified in an invoice, the organizer does not guarantee participation in the Congress.
  8. The organizer is not responsible for accommodation of a Participant throughout duration of Congress.
  9. The final VAT invoices for participation in the Congress shall be issued within 14 days after its completion.



Terms of Payment:

  1. Costs of participation and the other possible forms of promotion during Congress are stated in materials concerning Congress, available inter alia on the www page of the Congress.
  2. Payments should be made on the basis of a pro forma invoice to the following account:

In the description of payment, please state the number of a pro forma invoice, the name of the firm and add the insertion “13 KŚPF” or "12 KŚPK".



Resignation:

  1. The organizer does not allow the possibility of resigning from participation in the Congress. The organizer only allows the possibility of changing the person participating in the Congress. In such a situation, the resigning Participant is obliged to provide the Organizer with information about this fact.
  2. In the case of resignation from participation in the Congress, the organizer charges the Participant 100% of the costs of declared participation in the event of resignation from participation in the Congress.
  3. Not taking part in the Congress does not release the Participant from the necessity to cover the full costs of the previously declared participation.

 

Cancellation or change of the date of the Congress:

  1. If the Congress cannot be held for reasons beyond the Organizer's control, e.g. due to a ban on the organization of events such as Congress due to an epidemic, FARMACOM Publishing House may cancel the Congress or change the date of the Congress.
  2. In the case of a change of the date of the Congress, only the date of the organization of the Congress is changed, and all other arrangements resulting from the application shall be deemed binding.
  3. In the case of the cancellation of the Congress for reasons beyond the control of the Organizer, the Participant is not entitled to reimbursement of fees related to participation in the Congress. All deposited funds will be credited towards the next Congress, the date of which will be announced by the Organizer as soon as possible.
  4. The Participants will be notified about the change of the date or the cancellation of the Congress via e-mail and on the website available at the following URL: https://kongresfarmaceutyczny.pl and https://kongres-kosmetyczny.pl.

 

Final provisions:

  1. By accepting the Regulations, Participants agree to undergo a non-invasive health check, including setting the Participant's body temperature using a non-contact thermometer. The control referred to in the first sentence may take place in the event of an epidemiological risk, and thus a risk to the health of other Participants. Participants also undertake to report to the Organizer's staff, present during the Conference, if they observe symptoms related to the spreading infectious disease.
  2. In the event of a negative result of the control referred to in item 1., the Organizer reserves the right to offer the given Participant a substitute form of participation in the Conference by providing the Participant with conference materials, including electronic versions of presentations and speeches presented during the Conference lecture sessions.
  3. Any disputes that may arise from participation in the Conference will be settled by the court competent for the Organizer's seat unless the provisions of generally applicable law state otherwise.
  4. The conference is closed and does not constitute a mass event within the meaning of the Act of 23 March 2009 on the safety of mass events (Journal of Laws 2009 No. 62, item 504).
  5. In matters not covered by the Regulations, the provisions of the Civil Code shall apply.
  6. The Organizer is not responsible for the Participants' items that may be lost, destroyed or stolen during the Conference.
  7. Participants bear full material responsibility for their damages both on the premises of the premises where any activities related to the Conference are carried out, as well as in the places of accommodation.
  8. The Regulations shall enter into force on the day of publication on the Conference Website.
  9. The Organizer has the right to change the provisions of the Regulations. The changes shall enter into force within 7 days from the date they are posted on the Conference Website. At the same time, as regards the services in progress, the version of the Regulations in force at the time of submitting the application for participation by the Participant shall apply.
  10. The provisions of the Regulations constitute an integral part of the Application for Participation in the Conference and apply to all Participants.

 

 Processing of personal data:

  1. The Organizer is the administrator of personal data provided by Participants.
  2. Participants' personal data will be processed within the following scope: name, surname, e-mail address.
  3. Personal data was obtained directly from the Participant in the registration process.
  4. Personal data of Participants are processed in accordance with the law, including in accordance with the Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation), the Act of 18 July 2002 on the provision of electronic services, the Act of 10 May 2018, on the protection of personal data solely for the purpose of proper implementation of the Conference.
  5. Providing the data by the Participants is necessary to register the Conference Participants. Conference participants have the following rights: the right to access personal data, copies of personal data, rectification and deletion of the personal data provided, limit their processing, transfer, object to their processing, as well as the right to lodge a complaint to the supervisory body for the protection of personal data.   6. Participants' personal data may be transferred to entities authorized to receive them, including relevant judicial authorities based on the applicable law.
  7. The Organizer stores the personal data of Participants for 12 months from the date of the Conference.
  8. The Organizer does not transfer personal data of Participants to third countries.
  9. Participants' personal data will not be used for automated decision making, no profiling will be carried out.
